Client Document Portal Your name, email address, and any documents you upload as part of your case (which may include passport copies, bank statements, employment letters, and other financial or personal documents)
WhatsApp Your phone number and the content of messages you send us
Live Chat (Tawk.to) Your IP address, and the content of any chat conversation you have with us
Website Analytics General usage data (pages visited, buttons clicked, approximate location), collected via Google Analytics

90/180 Day Calculator: the travel dates you enter into this tool are processed entirely within your own browser and are never sent to, or stored by, GVJ. We do not see or retain this information.

  • Prepare, review, and manage your visa application case, where you have engaged our services
  • Arrange flight reservations where requested
  • Communicate with you about your case via WhatsApp, email, or our client portal
  • Respond to enquiries made via live chat or other contact methods
  • Understand how our website is used, so we can improve it

3. Our Legal Basis for Processing Your Data

We rely on the following legal bases under UK GDPR:

  • Contract: where processing is necessary to provide the service you have engaged us for (e.g., managing your visa case)
  • Consent: where you have actively provided information to us (e.g., via the readiness check, live chat, or flight reservation form)
  • Legitimate interests: for website analytics and improving our services, balanced against your right to privacy

Where your documents include sensitive information (such as financial records for visa purposes), we only process this with your clear, informed consent, and only for the specific purpose of your visa case.

4. Who We Share Your Data With

We do not sell your personal data. We share it only with the following categories of third party, where necessary:

We do not share your documents or case details with embassies, consulates, or visa application centres on your behalf. You submit your own application in person, as required by Schengen regulations; we prepare and advise on your documentation only.

5. International Data Transfers

Some of our third-party service providers (including Google) may process data on servers located outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, to protect your data to UK GDPR standards.

6. How Long We Keep Your Data

We retain your personal data only for as long as necessary:

  • Case-related documents are retained for the duration of your case, and for a reasonable period afterward in case of follow-up queries or reapplication
  • If you do not proceed with our services after an initial enquiry, we will retain your basic contact information for a limited period, after which it will be deleted unless you have asked us to keep it for future reference
  • You may request deletion of your data at any time (see Section 7 below)

7. Your Rights Under UK GDPR

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data (“right to be forgotten”)
  • Restrict how we process your data in certain circumstances
  • Object to processing based on legitimate interests
  • Data portability — receive your data in a portable format
  • Withdraw consent at any time, where processing is based on consent
