Client Engagement Letter

In plain English: this letter explains what we do for you, what we do not do, and confirms that we cannot guarantee a visa approval, as that decision belongs entirely to the relevant embassy or consulate. Please read the full letter below for the complete terms.

1. Parties

This engagement letter is between Global Visa & Journeys Ltd ("GVJ", "we", "us"), a company registered in England & Wales under company number 16959031, and the client named on the associated order confirmation or booking ("the Client", "you").

2. Scope of Service

GVJ provides consultancy services relating to Schengen visa applications, European student placement, and European work visa guidance. GVJ does not provide UK immigration advice or UK visa application services, and is not regulated by the Office of the Immigration Services Commissioner (OISC), as this falls outside our scope of practice.

The specific service purchased by the Client is set out in the order confirmation issued at the time of payment, and is limited to that service only. Any additional work requested by the Client outside the original scope will be quoted and agreed separately.

3. No Guarantee of Outcome

The Client acknowledges and agrees that:

  • GVJ does not guarantee the approval of any visa application under any circumstances.
  • The final decision on any visa application rests entirely with the relevant embassy, consulate, or government authority, and is entirely outside GVJ's control.
  • GVJ's fee is charged for the quality, thoroughness, and professionalism of the service provided, and not for any particular outcome.
  • Refusal of a visa application does not, in itself, constitute a failure of service by GVJ, provided the service was delivered in line with the agreed scope and with reasonable professional care.

4. Client Responsibilities

The Client agrees to:

  • Provide accurate, complete, and truthful information and documentation at all times.
  • Notify GVJ promptly of any change in circumstances relevant to the application (e.g. change of travel dates, employment status, financial situation).
  • Respond to requests for documents or information within a reasonable timeframe, as delays may affect processing times set by the relevant embassy or consulate.

GVJ accepts no liability for delays, refusals, or other adverse outcomes arising from inaccurate, incomplete, or late information provided by the Client.

5. No False or Fraudulent Documentation

GVJ operates on a strict policy of never producing, advising on, or knowingly submitting false, forged, or fraudulent documentation of any kind. If GVJ becomes aware or reasonably suspects that a Client has provided false or fraudulent documentation, GVJ reserves the right to terminate the engagement immediately without refund, and will not be liable for any consequences arising from the Client's conduct.

6. Fees and Payment

Fees for the service purchased are set out in GVJ's published Fee List at the time of booking, and confirmed in writing before work begins where the fee is variable. Payment is due in full at the point of booking unless a staged payment plan has been explicitly agreed in writing.

Third-party costs (including but not limited to embassy fees, VFS or TLS service charges, travel insurance, accommodation, and flights) are separate from GVJ's professional fees and are the Client's responsibility unless otherwise agreed.

7. Limitation of Liability

To the fullest extent permitted by law, GVJ's total liability to the Client in connection with any service, whether in contract, tort, or otherwise, shall not exceed the total fees paid by the Client for that specific service. GVJ shall not be liable for any indirect, consequential, or economic loss, including but not limited to loss of travel costs, accommodation costs, or loss of opportunity, arising from a visa refusal or delay.

Nothing in this letter limits or excludes GVJ's liability for death or personal injury caused by negligence, fraud, or any other liability which cannot be excluded or limited under English law.

8. Confidentiality and Data Protection

GVJ will handle all Client documents and personal data in accordance with UK GDPR and our published Privacy Policy, available at globalvisajourneys.com. Client documents will not be shared with any third party except where necessary to deliver the agreed service (e.g. submission to an embassy or consulate) or where required by law.

9. Complaints

Any complaint regarding our service should be raised in accordance with GVJ's published Complaints Policy.

10. Governing Law

This engagement letter is governed by the laws of England and Wales, and both parties submit to the exclusive jurisdiction of the courts of England and Wales.

Acceptance By making payment for a GVJ service, the Client confirms they have read, understood, and agreed to the terms of this Engagement Letter.
